Use the correct local or digitally signed route
A local applicant can take completed ROP122 to a Registration of Persons Office. Internet or Immigration app applications require iAM Smart+ digital signing. Complete updated particulars and the application purpose truthfully, without treating a desired new detail as already verified in the historical record. Check the current charge and choose personal collection, an authorised collector or registered mail, then retain the submitted version and reference. Someone unable to attend because of poor health and unable to apply online has specific postal or representative arrangements with medical evidence; this is not an unrestricted option for anyone to have a friend lodge the request. To reduce avoidable visits, examine the chosen office and collection conditions before deciding which route you can actually complete.
Check overseas authentication and deceased-person rules
An overseas applicant should read the requirements for identity copies, a photograph and thumbprint to be authenticated by a notary public in the country of residence; the local procedure cannot be used to omit those requirements. Check the current page for photograph dimensions, clear prints and provisions for older identity cards. Authenticating application evidence and obtaining an apostille later are separate tasks. A certificate concerning a deceased person uses ROP171, with relatives and specified purposes such as burial, emigration or estate administration requiring supporting evidence for assessment. Do not insert the deceased person's name into ROP122 as a personal application. Identify location, living or deceased subject, purpose and attendance ability, then ask Immigration about unresolved arrangements before paying for overseas authentication.
Check the issued certificate before using it
An authorised collector must be at least eighteen and bring identification and the authorisation documents; for registered mail, verify the delivery address. A local postal application concerning a deceased person has personal-collection restrictions, so do not copy the general arrangement without checking. On receipt, examine the language, name and requested particulars and raise questions through the formal channel rather than editing the file. For example, someone needing evidence of a historic alias obtains the recipient's wording and explains that purpose on ROP122. Receiving the certificate completes retrieval of the record; acceptance, translation or apostille remains part of the recipient's procedure. Preserve application, payment, delivery and onward-submission evidence so each stage can be checked without presenting a receipt as the issued result.
