Moving a shop, an office or a company-secretary address can affect different records. List the addresses that changed, their effective dates and business structure before choosing the Registry and IRD processes.

Before you start
A local company's registered-office change requires Form NR1 within fifteen days after the change. A business-address change requires written notification to the Business Registration Office within one month, with IRC3111A available. Registry transmission of registered-office information does not automatically establish that the business address on the certificate has been updated. Where both become the same address, the optional electronic one-stop service can report both subject to its conditions. Check what you selected and what each acknowledgement confirms; an updated company record and an amended Business Registration Certificate are distinct evidence.
What to do, step by step
- List the old and new addresses, effective date, legal structure and business registration number. Arrange reliable receipt of official mail so a notice sent during the move is not overlooked.
- Use NR1 where the registered office changes. If only the trading location changes while the registered office stays, follow the Business Registration Office route rather than submitting a fictional office change.
- For both records, check eligibility and the options for one-stop electronic notification. Otherwise complete the separate procedures within their deadlines, retaining copies and references for each authority.
- Check the amended company record and business certificate, then update relevant licences, banking, insurance, MPF and supplier contacts through their own procedures. An address update at one authority does not notify every provider.
Costs, timing, and things to check
IRD may request evidence such as a tenancy agreement or recent utility bill. Provide accurate particulars and confirm whether a proposed address is valid for each intended use.
A licensed food or other business may need a separate premises approval or new licence. Updating registration does not establish that the new premises are approved to operate.
A practical example
A limited company's shop moves to Kowloon while its registered office remains with the secretary. Notify the Business Registration Office of the trading address without inventing an NR1 change. Handle the shop licence, bank and insurer separately. Check the new certificate's address and effective information and retain the lease and acknowledgements, making a list of remaining contacts rather than assuming the first successful filing completed the whole move.
