What to do, step by step
- Request the full Chinese legal name and credit code and distinguish the trading entity, manufacturer and group companies. An English brand helps communication but the formal contract must identify the real seller. Ask which entity owns the goods and which one will handle defects and replacement obligations.
- Enter the disclosure system through SAMR's official route and search by credit code, checking basic particulars and available exception or penalty records. Save the date, relevant fields and inaccessible sections. Where a discrepancy matters, verify through the appropriate authority rather than treating a partial screen as complete diligence.
- Check signing authority and consistency among contract entity, invoice and account name. Obtain a genuine written explanation for third-party or group collection. Confirm bank-detail changes through an independently known contact. A message in the same potentially compromised email thread does not adequately resolve a suspicious payee change.
- Assess premises, samples, specifications, tests and delivery arrangements and use independent inspection where warranted. Specify acceptance, staged payment, defect remedies and dispute arrangements in the contract, obtaining local professional review for material terms. Match payment stages to evidence that can actually be checked by your business.
Costs, timing, and things to check
A disclosed business scope does not replace activity-specific permission or product testing. Check export, food, electrical or special-equipment requirements against the goods. A contract sentence saying fully compliant may allocate a promise but does not supply the missing permit or test evidence.
Awards or follower counts alone offer limited evidence of capability. Obtain references appropriately and ask about comparable actual projects. A successful small sample order also cannot guarantee volume production or long-term performance; reassess evidence as quantities, specifications or payment exposure increase.
A practical example
A Hong Kong shop orders from a Dongguan factory but receives a contract from a Shenzhen trader. The owner checks both entities and their relationship, asks for an explanation of invoice and payee identity and inspects samples. The first order uses documented payment stages. Actual search results and dates are saved; incomplete records leave the partner awaiting verification rather than being marked approved merely because a business licence was supplied.
