For work files, follow the employer's approved tools and policy, asking the responsible person about confidential or sensitive material. What to do, step by step
- Test with an anonymous description, such as bill categories and amounts, leaving out names, addresses, and account identifiers before deciding an image is necessary.
- If a copy is needed, remove irrelevant pages and redact names, identifiers, signatures, QR codes, and identifiable images. Keep the original locally and use a separate working copy.
- Reopen the redacted copy and test searchable or copyable text. A visible black rectangle alone does not establish that the underlying information has been removed.
- Upload only the necessary excerpt and ask about the designated passage. Verify the answer, then manage the conversation and copies using the service's actual available controls.
Costs, timing, and things to check
A distinctive combination of amounts or organisation names can still identify a person or project. Anonymising requires attention to context and third parties, not only removing a name.
Do not provide passwords, verification codes, complete identity documents, or bank logins. For a contract needing professional judgment, organise questions and obtain an appropriate review.
A practical example
For a lease clause, copy only the passage you want to understand, replace parties with Tenant A and Landlord B, and describe the property generically as a Hong Kong residence. Ask the tool not to infer absent clauses. Use its questions for a formal enquiry, checking the complete agreement with an appropriate adviser before relying on the interpretation.
Decide whether upload is necessary, minimise the data, verify redaction, and review the result yourself.
