Refund discussions can scatter across chats and calls. Build one timeline and ask for the actual refund status so the next party to contact is clear.
What to have ready
What the routine helps resolve
Retain the pre-purchase terms, order, payment and problem evidence, then the refund promise itself. Consumer Council's 2026 accommodation cases show why platform and seller arrangements matter to responsibility. For other purchases too, identify the contracting party, recipient of payment and party that has actually initiated a refund.
Every follow-up checks four points: amount and deductions; payment destination; expected processing date; responsible seller or platform and reference. Approved, initiated and credited by the bank are different states. The record helps verification, but your own reminder date is not a deadline the other party has accepted.
A usable sequence
- Create one folder and timeline with date, party, promise and open point for each contact. Separate cancellation confirmation, refund approval and transaction references instead of retaining only a final 'no problem' message.
- Request written confirmation of the four points. If money goes to a platform wallet or becomes vouchers, check whether that matches the agreement. Do not pay an unsolicited 'release fee' to obtain the refund.
- At the promised point, check the original payment record and use the case and transaction reference to identify the outstanding stage. Payment tools have different settlement processes; follow the actual response instead of guessing a universal number of days.
- If unresolved, complain formally to the responsible party and consider Consumer Council conciliation or the appropriate legal route. Keep the request and reply. Ask the card issuer separately about dispute conditions and deadlines rather than assuming recovery is guaranteed.
An example and wording to adapt
Suggested wording: 'For order ___, confirm the refund amount and deductions, payment destination, initiation or expected credit date, and responsible party and transaction reference. Your last reply was ___. No credit is visible; please identify the outstanding stage.' Attach relevant evidence rather than opening many contradictory cases.
Official next step and limits
Hong Kong has no unconditional cooling-off period covering every purchase. Change-of-mind, misdescription and cancelled-service rights depend on the actual terms and law. Consumer Council conciliation cannot compel every seller to pay; courts, card issuers and platforms each have their own procedures and evidence requirements.
Follow up the four points and actual status, keeping promises in one timeline.
