Ask separately about capacity, air-conditioning, sound equipment, seating, decorations and technicians. An apparently vacant slot does not mean your event has approval. The organisation named on the application, any co-organiser and the programme should be clear, because these can affect eligibility, responsibility and the information the district office needs to assess.
What to do, step by step
- Verify the address, manager and district guideline. Choose the hall, conference room or activity room suitable for the programme, then check that the organisation and proposed purpose meet the relevant conditions.
- Download the current form and prepare organisation evidence, responsible contact, programme, attendance estimate and co-organiser details. Ask about accessibility, emergency exits and arrangements for children or participants needing assistance.
- Submit by the district's deadline and accepted channel. Record ballot, notification, payment and waiver arrangements. A telephone enquiry does not replace the completed application or written booking approval.
- After approval, confirm setup and departure times, equipment, cleaning and applicable insurance conditions. Obtain confirmation before changing the event and follow the restrictions on transferring or using the approved slot.
Costs, timing, and things to check
The current Southern District guide specifies written submission channels and allocation by lot for competing applications. Other districts require their own current arrangements; do not apply one district's deadline across Hong Kong.
Basic hire, air-conditioning and equipment may be separate charges. A waiver requires the applicable conditions and approval; a non-profit name alone does not establish free use of every service.
A practical example
A volunteer group plans a family craft session in Ap Lei Chau. It checks Southern District eligibility, submits the programme and expected attendance, and includes setup and cleanup in the requested period.
