A staff member saying refunded, a closed order and money posted by your bank are different evidence. Assemble the transaction chain so you can ask the right party for a specific update.
What to have ready
Before you start
A merchant's return policy and the payment tool's refund process are different. A successful purchase does not make every item unconditionally returnable. AlipayHK handles refunds according to the original funding source, with card refunds requiring issuer posting. Weixin Pay's merchant guidance also distinguishes acceptance of a refund request from final success and provides for exceptions. Consumers need not operate merchant systems but can ask the seller to confirm the outcome and refund reference. Do not apply another wallet's turnaround to your transaction or pay a supposed support agent a refund-unfreezing fee.
What to do, step by step
- Save the merchant name, original order, payment time, amounts in each currency and funding source. Agree with the merchant exactly what is being returned and the refund amount, including any partial refund or separately charged item.
- Obtain the request date, reference and outcome. If the seller only confirms submission or acceptance, ask whether processing continues or an exception needs action, rather than treating the first acknowledgement as a completed refund.
- Check your wallet refund record and original card statement or balance. Separate a posted refund, cancelled pre-authorisation and changed available credit; they are not interchangeable proof that a particular charge has been refunded.
- If the applicable processing period is exceeded or statuses conflict, contact official wallet support and the issuer with both references. Record their answers and any promised follow-up date, then escalate the specific unresolved step rather than repeating a vague refund request.
Costs, timing, and things to check
Ask the issuer how conversion and charges apply to a foreign-currency card refund. Do not assume the actual HKD credit must exactly match the original HKD debit without checking its terms.
Keep the merchant's return agreement, payment records and issuer dispute deadlines. Asking the bank to consider a dispute does not guarantee success or automatically replace the merchant refund process.
A practical example
A traveller returns clothing and sees the seller's refund-submission acknowledgement, but no credit on their Hong Kong card. They retain the payment and refund references, ask the seller for the final outcome, and check the wallet and issuer's applicable timing. They close the case after matching the posted credit, amount and card.
Close the case using a matching refund record and actual posting.
