BIR51 is the corporations' profits tax return. Check the year's instructions for financial statements, any required audit report, tax computation and supplementary forms. Accounting profit does not automatically equal assessable profit. IRD's electronic workflow separates uploading, completion and submission; uploading a data file alone does not fulfil the filing obligation. Review current document-format requirements and whether mandatory electronic filing applies to the particular entity before choosing a submission route.
What to do, step by step
- Record the deadline and tax file number when the notice arrives, then send it to the responsible accountant. If an extension is needed, use the applicable formal procedure. Do not assume engaging a representative or requesting missing statements has already changed the deadline.
- Supply a reconciled evidence pack connecting invoices to receipts, expenses to payments, bank statements, stock counts and fixed assets. Flag related-party transactions, overseas income and unusual one-off items for review. Ask the accountant to explain missing documents and significant adjustments in plain language.
- Review return figures against the tax computation, ensuring deductions and source-of-profit explanations have evidence. Confirm supplementary forms, electronic formats and authorised signing arrangements. Keep a dated copy of what you approve so that later changes can be identified and discussed before submission.
- After final submission, obtain the official acknowledgement and retain the submitted version with attachments. When an assessment arrives, separately check the amount and payment date. Follow the formal correction or objection route for a dispute rather than silently editing the old spreadsheet and assuming IRD has the revision.
Costs, timing, and things to check
Small scale does not remove the need for adequate accounts. Determine attachment requirements from the current BIR51 instructions rather than an old impression that a small business submits no accounts. A company with no transactions should still respond appropriately to a return actually issued.
For foreign-currency and cross-border services, retain contracts, where work occurred and payment evidence. Do not claim offshore exemption solely because the customer is overseas. Have the specific tax position reviewed professionally, including assumptions and evidence needed if IRD later asks questions.
A practical example
A software company receives BIR51 and its accountant uploads financial information and supplementary-form files. The director notices that the return remains a draft. She checks the computation, completes authorised signing and submission, and downloads the acknowledgement. The separate assessment payment date enters the cash-flow calendar. This prevents an uploaded-file message from being treated as proof that both filing and payment have been completed.
