Replace customer name, phone and address with fictional details, then check that the meaning survives. This is a workflow template rather than a guarantee that a product follows instructions. Before sending, verify date, branch, amount and policy and retain an approved version for later use.
For a table, test columns and formulas with a few fictional orders before processing actual records in a controlled tool. Ask the model to flag fields requiring review rather than treating a generated total as the accounts. Product descriptions can become a comparison table, or meeting notes an action list, with each item retaining a source or owner. Keep credentials, payment codes, complete banking details and sensitive staff records out of a general chat; minimisation should be part of the routine.
Check tool settings and authority to send
Before choosing a cloud or AI service, review retention, training use, sharing, deletion, suppliers and cross-border processing against business needs. If an automation can send messages, change orders or pay, provide limited permissions and appropriate approval and test draft-only behaviour first.
